Privacy Policy

This page explains what data ISOW (International Students of Wageningen) stores about you, why we store it, and the rights you have over it.

What we collect

When you register we store your name, email address, and a profile photo. You may also optionally provide your phone number, nationality, and occupation. Nothing else about you is collected.

Why we collect it

We use your data only to administer your membership: issuing your membership card, enrolling you in courses, and contacting you about your membership. We do not run analytics, set tracking cookies, or share your data with third-party advertisers.

Where your data is stored

Your data is hosted on Hetzner Cloud servers located in the EU (Germany and Finland). It never leaves the EU.

Photo retention

Your photo is kept for as long as your account exists. It is not automatically deleted when your membership expires; it is removed only when your account is deleted.

Your right to erasure

You have the right to erasure: you can delete your own account at any time from your profile, and an ISOW admin can also delete it on your request. Deletion permanently removes your personal data, your photo, and your course enrollment records.

Your right to access

You can view all of the data we hold about you at any time from your profile page.

Data controller

The data controller responsible for your data is ISOW (International Students of Wageningen).

Consent

When you register, you give consent via a checkbox agreeing that ISOW may store this data for membership purposes. You can withdraw that consent by deleting your account.
